FAQ
How do you keep our data secure and isolated?

The data is stored and the application runs inside Polhems servers located in Gnosjö, Sweden. The ERP data reaches the server through a secure channel: on-premise hardware on your own network if your ERP runs locally, or a direct encrypted API connection if your ERP runs in the cloud.

All customer-specific data is kept isolated. No model is trained or built on your data in a way that lets another manufacturer benefit from it. Your way of working stays yours.

On what servers does the Polhem AI run?

The models run on Microsoft Azure infrastructure in Sweden. We use OpenAI's models through Azure OpenAI Service. Microsoft is the sole processor of your data. If you already use Microsoft services, your data is processed under your existing agreement with them. Your prompts are never used to train the underlying models.

Do you replace our ERP or sit alongside it?

Alongside, today. We sit on top of your ERP and read from it. You keep running everything as you do now.

Over time, as more of the actual work runs through Polhem (agents acting, your team overseeing), Polhem becomes the new system of record and your ERP can be removed when you are ready. The change is gradual and follows where the work actually happens, not a rip-and-replace event.

What is the process to get up to speed and running? How long does it take?

Expect to be working in the system within 2 days.

A few hours of IT setup. We connect to your ERP, with on-premise hardware installed at your site if it runs locally. We handle the data mapping automatically. From there, onboarding happens inside the system itself: as your team uses it, the interface asks the questions it needs to understand how your operations run. No separate workshops or interviews required.
